Job Description

THE ROLE

Numida is looking for a highly organized young graduate that will serve as Numida’s first Administrative Assistant. This critical team member will ensure the smooth running of the office and ensure that Numida staff have everything that they need to get their job done. This role will involve a wide range of responsibilities, requiring flexibility, organization and prioritization skills, as well as the ability to follow-through and advance multiple simultaneous projects without close supervision. An outstanding Administrative Assistant will even have the foresight to anticipate issues before they arise, to help Numida avoid them altogether. It’s a tough job, but when done well, the Administrative Assistant will be rewarded by being everyone’s favourite person at Numida!

KEY RESPONSIBILITIES

  • Overseeing and supporting all administrative duties in the office and ensuring that the office is operating smoothly
  • Performing receptionist duties when in office by greeting and screening visitors
  • Proactively managing office supplies inventory and placing orders as necessary
  • Developing office policies, procedures and systems to ensure the safety, security, productivity and organization of both people and resources in the office and ensure they are implemented appropriately
  • Assisting with the management and maintenance of IT infrastructure
  • Managing the logistics for special office events and offsite team meetings
  • Managing the cleaning and security staff to ensure a high standard of cleanliness and security in the office at all times
  • Assisting with the administrative tasks related with Numida’s Human Resource function
  • Managing the office budget
  • Identifying opportunities for process and office management improvements, and designing and implementing new systems
  • Assisting management and colleagues with tasks outside of the main role description on an as-needed basis - this is the reality and one of the joys of working in an early-stage company

YOUR SKILLS AND QUALIFICATIONS:

  • A University Degree in any field
  • 1+ year of work experience in a similar role is preferred
  • Verbal and written fluency in both English and Luganda
  • Ability to write using professional, concise, and slang-free English
  • Highly organized, with good time management skills
  • Adept in office technology: can use basic computer software like email, calendar, word processes, spreadsheets, presentation software
